Booking Terms & Conditions
These terms apply when you book accommodation, equipment or services from The Glamping Group Ltd.
1. About these terms
The Glamping Group Ltd is registered in England and Wales. Company no. 13869417. VAT 473668353.
"We", "us" and "TGG" mean The Glamping Group Ltd. "You" means the lead booker. "Guests" means anyone staying in accommodation under your booking.
By placing a booking, you confirm you are 18 or over and agree to these terms on behalf of everyone in your booking.
2. Booking and payment
Your booking is confirmed once payment is completed and we send a written confirmation email.
For event booking pages, payment is either the full booking value or a stated hold fee. A hold fee reserves the selected tent setup for the stated hold period and is deducted from the final booking value if you go ahead.
Hold fees are non-refundable unless we cancel the accommodation for a reason within our control.
3. Cancellation by you
Cancellation requests must be sent in writing to hello@theglampinggroup.com from the email address used to book.
Unless the event page or your confirmation email states otherwise, event accommodation bookings are refundable as follows:
- Cancel 14 or more days before the event start date: full refund.
- Cancel fewer than 14 days before the event start date: no refund.
The GBP 30 hold option, where offered, is non-refundable but is deducted from your final booking value if you confirm the booking within the hold period.
4. Cancellation or change by the event organiser
If the event itself is cancelled by the organiser, we will offer a full refund or transfer to another available date, where practical.
If the event is postponed, we will do our best to transfer your booking to the new date. If we cannot provide the accommodation on the new date, we will refund the amount you paid.
5. Cancellation by us
If we cancel your booking for a reason within our control, you will receive a full refund of money paid for that booking.
If severe weather, venue restrictions, government action, transport disruption or another event outside our reasonable control prevents us from safely providing accommodation, we will work with you and the event organiser on the fairest practical outcome, which may include a transfer or refund depending on the circumstances.
6. Arrival, departure and site rules
Arrival and departure details will be shown on the event page or in your booking confirmation email.
You and your guests must follow all event, venue and campsite rules, including access, parking, quiet hours, security and safety instructions.
Late departure may delay our pack-down. If you leave equipment inaccessible after the stated departure time, we may charge reasonable costs caused by the delay.
7. Behaviour, prohibited items and damage
You are responsible for the conduct of guests in your booking and for damage caused by them.
Strictly prohibited inside any tent:
- Smoking or vaping
- Candles, incense, oil burners or naked flames
- Gas stoves, BBQs or cooking equipment
- Heaters of any kind unless supplied or approved by us in writing
- Pets unless agreed by us in writing before arrival
Do not pin, tape, tie or hang decorations from the canvas, poles or guy ropes without our written permission.
Damage, missing items or excessive cleaning caused by you or your guests may be charged at reasonable repair, cleaning or replacement cost.
We may refuse accommodation or remove guests who behave dangerously, aggressively or in a way that risks people, tents or equipment. No refund is due in that situation.
8. Weather
Our tents are designed for normal British outdoor conditions, but weather is part of camping and glamping.
No refund is due because of rain, wind, mud, cold, heat, insects, ground conditions or an unfavourable forecast, unless we are unable to provide the booked accommodation.
9. Personal belongings and liability
Your belongings are your responsibility. Tents zip shut but are not lockable. We are not responsible for loss, theft or damage to personal items left in or around tents.
Except where caused by our negligence, we are not responsible for injury, illness, loss or damage arising from normal outdoor event conditions, including uneven ground, guy ropes, low tent entrances, weather or other campsite hazards.
Nothing in these terms limits liability where it would be unlawful to do so.
10. Photography
We may photograph our tents, setups and event villages for operational records and marketing. We do not intentionally photograph identifiable guests without permission.
If you do not want your booked tent setup included in marketing photography, email us before the event and we will do our best to avoid it.
11. Complaints
If something is wrong with your accommodation, tell the on-site TGG team as soon as possible so we have a chance to fix it.
Formal complaints must be emailed to hello@theglampinggroup.com within 7 days of the event ending.
12. General
These terms are governed by the laws of England and Wales.
If any part of these terms is found unenforceable, the rest will continue to apply.
These terms apply as at the date you make your booking. Later updates do not change bookings already confirmed unless we agree that with you in writing.
